1. Assignment options

Gender
Room occupancy

The two modes keep separate rosters and room settings. Switching modes does not transfer names automatically. In the one-roster view, you can copy both gender-specific rosters into the participant list.

Balance occupancy aims to even out each room’s capacity percentage, not the raw headcount. With capacities of 4 and 6 for 5 people, a 2-and-3 split is a guide.

2. Roster (one person per line)

Enter one name per line. You can also copy a name column from Excel or a spreadsheet and paste it here.

The names and room rules shown initially are samples. Replace the roster and remove any rules you do not need before using the result.

Import a roster with gender

Use this in Separate by gender mode. Enter one person per line as Name,Gender. Gender can be Male or Female; tab-separated data is also supported. Importing replaces both current rosters.

Enter one person per line as Name,Room. Use the exact room name shown in the room settings, such as “Boys Room 1” or “Room 1”. The assignment will fail if a room lock conflicts with another rule.

How to use the room assignment maker

1. Choose whether to separate by gender

Choose Separate by gender when boys and girls need separate rooms. Choose Do not separate for groups such as clubs, camps, or families. Separate by gender shows a roster and room settings for each group.

2. Paste your roster

Enter one person per line. You can paste a copied name column from a spreadsheet; blank lines are ignored. The first visit includes sample names and one example each for keeping people together and apart. Select Load sample names to restore the examples after clearing them.

In Separate by gender mode, open Import a roster with gender and paste rows in the format Name,Male or Name,Female.

3. Set the number of rooms and capacity

Enter the number of rooms and the capacity per room. Calculate rooms from roster size adds room capacities in order and sets the smallest number of rooms that can hold everyone, including any custom capacities. Use Customize room names and capacity for mixed room sizes or actual room numbers. Select Assign rooms to check whether all rules can be met.

4. Add optional room rules

Open Optional room rules to add constraints. Rules apply even when the section is closed, and the summary shows how many are entered. In Keep these people together, list one group per line, separated by commas or slashes; everyone on a line will share a room. In Keep these people apart, everyone on a line will be assigned to a different room. Names not found in the roster are ignored. The section opens automatically when a warning or rule error needs your attention.

5. Assign, print, or copy

Select Assign rooms to create a plan that meets the rules; the page moves to the result. The button changes to Find another arrangement so you can try a different assignment. Print includes only the room plan, without the input form or ads. Copy result copies the room names and people as text for use in schedules, emails, or other documents.

To lock a person to a room, enter one Name,Room pair per line in Lock a person to a room. To make a small change after assigning rooms, select Edit assignments and choose a destination. People who must stay together move as a group, and manual room moves are kept when you generate another arrangement.

Frequently asked questions

What is the difference between Balance occupancy and Fill rooms in order?

Balance occupancy aims to bring each room’s occupancy percentage closer together. With room capacities of 4 and 6 for 5 people, a 2-and-3 split is a guide. With 10 people and three rooms of four, the result is 4, 3, and 3. Fill rooms in order fills each room to capacity before moving to the next, so the same example becomes 4, 4, and 2. Any unused rooms are at the end.

What should I do if no assignment is found?

This can happen when total capacity is too low, a together group is larger than any room, or too many people must be kept apart. With complex rules, a valid arrangement may exist but not be found within the search time. Try assigning again, reduce keep-apart rules, or increase the number or capacity of rooms.

Can I make a small change to an assignment?

Select Edit assignments in the result, choose a destination for a person, and select Move. People who must stay together move as a group. A move is blocked if it conflicts with room capacity or another rule. The destination is kept the next time you generate an arrangement.

What if two people have the same name?

You can still create an assignment, but rules cannot distinguish people with the same name. If you need to use a rule, add a student number or class to each name in both the roster and the rule.

Can boys and girls be assigned to the same room?

Not when Separate by gender is selected. If people of different genders can share a room, choose Do not separate and enter everyone in one roster.

Is my roster saved?

Your roster, room settings, rules, and result are saved only in this browser and restored on your next visit. They are not sent to a server. On a shared computer, select Reset to sample when you finish; this replaces the current names with sample names.

Can I start with a blank roster?

Select Start with a blank roster to clear all names and together, apart, and locked-room rules. Room counts, capacities, assignment options, and the plan title are kept.

How many people can be assigned?

Each roster can contain up to 400 people, with up to 100 rooms and a maximum capacity of 50 per room.
